Community Coordinator

Cahoots is looking for a Community Coordinator to join our team! We are a coworking space, event venue, health club, and coffee shop located in downtown Ann Arbor. Our membership base is made up of a wide variety of startups, small businesses, entrepreneurs, creatives, and remote professionals looking for an inspiring place to work and meet new people.

We’re looking for a passionate self-starter who wants to help build the coworking business and amplify what makes Cahoots special. This person is reliable with a “no issue is beneath me” team mindset — someone who is warm, energetic, creative, detail-oriented, genuinely enjoys people, and wants to help make Cahoots a place where everyone feels welcome, supported, and connected.

Purpose: Own the day-to-day coworking experience and help turn great member hospitality into membership revenue, retention, and community.

Tasks

  • Open and prepare the coworking space each morning, including room resets, dishwashers, laundry, tidying common areas, and general facility readiness

  • Staff the front desk and serve as a welcoming first point of contact for members and guests

  • Schedule and lead tours for prospective coworking members and follow up with leads in the CRM

  • Manage the coworking sales process from tour through contract, invoicing, onboarding, and welcoming new members to the space

  • Support members with account questions, billing/help desk needs, plan changes, and general questions

  • Communicate with members through Slack, email, Nexudus, and other channels and help resolve member needs

  • Support member engagement and programming by helping members feel connected, supported, and informed while strengthening the overall coworking experience.

  • Manage day passes, visitor check-ins, mail/packages, and other front desk needs

  • Maintain conference rooms, phone rooms, kitchens, bathrooms, locker rooms, printer stations, and other shared spaces

  • Monitor and restock building and office supplies; place orders as needed

  • Support basic troubleshooting of shared building equipment, including printers, monitors, Apple TV 4Ks, and other common-use technology

  • Support with the monthly newsletter and help keep coworking-focused social content active and consistent via Instagram and LinkedIn

  • Support the cafe team with occasional catering delivery or other basic day-to-day needs when appropriate

  • Comfortable owning “the morning shift” and maintaining a consistent front-of-house presence

Professional Skills & Experience

  • Hospitality, customer service, community, operations, or sales experience is a plus

  • Comfortable balancing member support, sales, and administrative work

  • Comfortable learning and utilizing tools such as CRM software, Nexudus, Slack, Asana, Canva, Instagram, and Google Workspace

  • Strong written and personable verbal communication

  • Ability to prioritize tasks and follow through independently

  • Comfortable navigating the 24K sq. ft. building throughout the day and able to lift and move items up to 25 lbs. as needed

Compensation & Benefits

  • Employment Type: Part-time, hourly/non-exempt

  • 20–25 hours/week

  • $18–$23/hour

  • Monday–Friday, 8am–1pm — this is a consistent weekday position; reliability during scheduled hours is important

Cross-training: We are currently hiring for two roles — Community Coordinator and Events Coordinator. Both roles will be cross-trained on the fundamentals of Cahoots operations, including tours, contracts, onboarding, CRM, Nexudus, front desk, AV, and facility operations, giving the team greater depth and flexibility across the building, with daily support from the Executive Director.

Events Coordinator

Cahoots is looking for an Events Coordinator to join our team! We are a coworking space, event venue, health club, and coffee shop located in downtown Ann Arbor. Our event space hosts all types of events — from corporate off-sites and professional workshops to political fundraisers, performances, celebrations, sports watch parties, and community gatherings.

We’re looking for a passionate self-starter who wants to help build the events business and amplify what makes Cahoots special. This person is reliable with a “no issue is beneath me” attitude — someone who is warm, energetic, creative, detail-oriented, and can move comfortably between sales, coordination, AV, content, hospitality, and event execution while helping create a welcoming, supportive atmosphere.

Purpose: Own the growth and execution of the event business — helping bring in new event revenue, and delivering an excellent venue experience that creates repeat business, word-of-mouth, and new awareness of Cahoots.

Tasks

  • Respond to event inquiries, qualify leads, provide venue tours, and help move prospective clients toward booking

  • Support the event sales process from inquiry through proposal, contract, invoicing, intake details, and event execution

  • Coordinate the Cahoots side of external events — client communication, room setup/teardown, facility access, AV hookup, and timelines

  • Plan and support Cahoots-led programming, including industry meetups, office hours, happy hours, networking events, volunteer days, and other community activations

  • Own the Cahoots event calendar and ensure internal and external calendars, website listings, physical event boards, and Slack communications stay current

  • Prepare event spaces, including furniture setup, room flips, teardown, and post-event resets

  • Serve as the primary “be in the building” point of contact during events — playing the role of “hands-on” attendant if the event host purchases that support add-on

  • Manage basic AV setup and troubleshooting, including microphones, projectors, sound, displays, laptop podium hookup, lighting, and other event technology

  • Coordinate door access and unlock schedules for events

  • Capture event photos/video and create simple event-focused social content that showcases the venue and drives future interest

  • Use non-event hours for event sales follow-up, outreach, planning, calendar management, content creation, and other business-building work

  • Provide afternoon front desk support (~1pm-3pm) and general building support when not actively working on an event or as business activity creates additional demand

  • Comfortable learning and utilizing tools such as CRM software, Nexudus, Slack, Asana, Canva, Instagram, and Google Workspace

  • Strong written and personable verbal communication

  • Creative and interested in community building and creating experiences

  • Ability to prioritize, problem-solve, and execute independently

  • Comfortable being on your feet during events and able to lift and move tables, chairs, equipment, and other event materials weighing 25 lbs+ as needed
